There are 3 ways to register for the Annual Gathering —

1.  Register online and pay with your credit card Choose one of the registration packages.  There are packages for a large variety of registration options.  

2.  Register online and pay with a check.  If you wish, you can register online and send us a check with a copy of your confirmation.  To qualify for the early registration discount, we must receive your check by May 15.  

3.  Print a registration form (PDF) and send it with your check.  If you prefer not to use online registration, or if none of the online registration packages fits your needs, you can use the printed form.  It contains a larger number of options.

ADDITIONAL REGISTRANTS:  You may register up to 4 additional people and enter payment information only once.  When you are finished entering information for yourself, click "Add" under Add Another Registrant.  Enter their personal information, complete the questions about workshops, etc., and select a registration package. 

All of the registrations you entered will be summarized, and you will be able to pay for all at once.

The information below will help answer any questions you have about how to complete the online registration form.  Please look it over before you begin. 
 

Four Registration Sections

Your registration is divided into 4 short sections:

  1. Personal Information

  2. Badge Information

  3. Registrant Information

  4. Workshops, Volunteer and Special Activity Registration

Please complete each section.  This information is needed to complete your registration.


1.  Personal Information

Complete your name and contact information, emergency contact, and any special needs you have. 

Registration Packages  •  Then choose one of the 16 registration packages.  These are our most-popular registration choices and include various housing and meal choices.  If none of these meets your needs, you can customize your registration using a paper form and mailing it to us with your check.  Print a form here, or call us at 800-282-0740 to request one.

  • Options 1 – 8 are for participants and delegates. 

  • Options 9 – 16 are for exhibitors, retirees/spouses, seminarians/members in discernment and youth and reflect discounts of $5 – 10.

Special Needs •  If you will need child care (deadline to request: May 1), specific foods, an accessible dorm room, ASL interpreter (deadline to request: May 1), or any other arrangement so that you may participate fully in the Annual Gathering, please let us know.  We will make every effort to make the arrangements you need.  You will be contacted if more information is needed.   Details about special needs

Emergency Contact  •  Please give us the name and phone number(s) for someone to be contacted in case of emergency during the Annual Gathering.

Residence Hall Lodging  •  Our participants will be lodged in Miller Hall and Williard Hall.  All rooms are air conditioned. 

Rooms are basic dormitory housing with single beds. Nearly all dorm rooms are arranged in suites:  2 persons per bedroom and 2 bedrooms per suite; suitemates share a bath.

A very limited number of single rooms with private bath are available. Rooms are assigned on a first come, first served basis.

Once all single bed/private bath rooms are assigned, persons requesting single rooms will be placed one person per room in a 2-room suite, sharing a bath with one other person of the same gender.

LINENS: Sheets, pillow, one blanket, towel and washcloth are provided. You may be more comfortable if you bring another blanket and towel, soap and a drinking cup.

Hotel Lodging  •  If you would prefer a hotel room, click here for options.

Exhibitors •  Click here for an exhibitor’s packet, which includes a registration form for your exhibit, which must be returned by mail. You may register the exhibitor(s) online, using registration options 9 – 16, which offer discounted fees.  Or click here to print a registration form for the exhibitor to submit by mail.


2.  Badge Information

Let us know the way you want your name to appear on your badge, along with your church, church city and association.  Please include your title if you would like to have it printed on your badge. 

Ordination Anniversary.  If you are celebrating a milestone ordination anniversary this year (5, 10, 15, 20, etc.), we would like to recognize that anniversary with the number on your nametag.  Choose the appropriate number from the drop down list.

   


3.  Registrant Information

Choose your registrant type from the drop down list:  Delegate (youth or adult), Participant (Adult), Participant (Youth).

Delegate  •  Delegates are authorized to make motions and vote on business brought before the Annual Gathering.  Delegates' name badges are marked.  Most votes are taken by a show of hands.  If there will be a paper ballot vote, each delegate will have a ballot in his/her name badge holder.

YOU ARE A VOTING DELEGATE IF YOU ARE:

1.   An ordained minister holding standing in an Ohio Conference Association

2.   A commissioned minister holding standing in an Ohio Conference Association

3.   A licensed minister who has been granted vote by your Association.

4.   An Association at-large youth delegate, 24 years and under.  Each Association can elect five at-large youth delegates.

5.   An officer or Director of the Ohio Conference

6.   Chairperson of an Ohio Conference elected or appointed standing committee or the Division for Outdoor Ministries

7.   A lay delegate elected by and representing a local church holding standing in an Ohio Conference Association

Not sure if you are a lay delegate?  Contact your pastor.  Every church can send 1 lay delegate.  Churches with more than 600 members can send 2.

8.   A Past Moderator of the Ohio Conference with membership in a local church that holds standing in an Association of the Ohio Conference

9.   A Covenanted Ministry Board member serving on the Ohio Conference Board of Directors.

Participant (Adult)  •  Participants are Annual Gathering attendees who are not voting delegates.

Participant (Youth)  •  Youth delegates should choose "Delegate" as their registrant type.  All other youth should choose "Youth Participant" as their registrant type.

There is no separate youth program this year; supervision for unaccompanied youth will not be available. Young people who are Annual Gathering participants or delegates must be accompanied by an adult chaperone.  Name and phone number of the chaperone are required on the questionnaire.


 

Roommates/Suitemates.   Please indicate in the box provided the name(s) of your roommate and/or suitemates if you have them. 

If you are willing to have us to assign a roommate and/or suitemate(s), type “Assign” in the space(s) provided.

If you would prefer a hotel room, click here for a list of hotels where room blocks are reserved at reduced rates.  Reduced rates guaranteed through May 9 only.

 

Number of Annual Gatherings Attended.    Choose from the drop down list. 

New attendees, or anyone with questions about the Annual Gathering, should watch for our Hospitality Team members in the registration area.  Look for their red shirts and “Ask Me” buttons. 

You are also invited to two Annual Gathering orientation sessions:  10-11 a.m. on Friday and 7:30-8:30 a.m. on Saturday (with breakfast).

Comments.     Use this section to give us any additional information we will need to process your registration.


4.  Workshops, Volunteer and Special Activity Registration

Volunteers.  We are looking for a few participants who might be willing to volunteer for a few hours during the Annual Gathering to serve in ways such as:

  • Usher during worship on Saturday morning

  • Act as a workshop host:  greet participants, help the speaker if needed, open and close the workshop, introduce the speaker

  • Member of the hospitality team:  answer questions, give directions, make first-time participants welcome, open doors, provide help as needed

If you check “Yes, I might be available” a planning committee member will contact you to talk about details and times.

Annual Gathering Choir.  If you would like to sing with the choir at worship on Saturday morning, indicate your voice type in the drop down list.  Rehearsal time will be either after lunch on Friday (around 12:30) or at 9:00 p.m. on Friday.  Music will be provided in advance so that you can become familiar with it.

Readers of Other Languages.  Part of Saturday worship will be scripture reading in languages other than English.  If you might like to participate in this way and can provide the non-English scripture verse, please indicate on the registration form in which language you could read.  Our worship planners will contact you.  Or for more information about this opportunity, you may contact our worship leader, Ann Molsberry, by email at or 618-339-7539.

 

Friday Afternoon Workshops, 1 – 5 p.m.

Please pre-register for these events if possible so that we can schedule space appropriately.

In addition to our traditional Church Leaders Workshop, this year we are offering two workshops tailored for laypersons.

Friday Evening Workshops, 7:15 - 9 p.m.

Eleven workshops on a variety of topics are offered from 7:15 – 9:00 p.m. on Friday.  Please pre-register for a workshop if possible so that we can schedule space appropriately.  Choose from the drop down list.

Special Activities.   Several special activities are planned at no extra charge: 

  • Annual Gathering orientation for first-time participants

  • Introduction to ministry in Ohio for new, or new-to-Ohio, pastors and seminarians

  • Luncheon sponsored by the Methodist Theological School in Ohio for seminarians and members in discernment.
